This case study aims to show how Vraja Technologies integrated an automated dropshipping process with an FTP integration into the supplier's system for a client using Odoo. By automating purchase orders, order processing, and system communication, this solution increases efficiency.
Step 1: Configuring and Integrating Products in Odoo
Product Combination:
Setting up dropship routes in Odoo is the first stage in the process. When a sales order (SO) is verified, every product in the inventory is set up to automatically generate a purchase order (PO). This configuration consists of:
Setting Up Dropship Routes: In Odoo, every product has a supplier assigned to it. This allows the system to create a purchase order (PO) with the supplier on its own each time a customer places an order.
Setting Up Suppliers: In Odoo, the supplier data is kept in the product configuration. The system immediately initiates the generation of a purchase order (PO) in the supplier's portal upon confirmation of a sales order.
Solution:
This integration makes sure that a purchase order is automatically generated and delivered to the supplier's system as soon as a customer places an order, and that a corresponding sales order is established in Odoo.
Step 2: FTP Server Integration
Configuring an FTP Server:
An FTP server that the supplier offers is essential to automating the order processing operation. File types utilized in the communication process, including XML, TXT, and CSV, are supported by the FTP server integration. The actions required are as follows:
File Transmission: The supplier receives the PO created in Odoo via the FTP server. This guarantees automatic and safe data flow between the two platforms.
File decoding: Purchase orders, invoices, and other relevant documents may be included in the files that arrive. The FTP server decodes these files. After these files have been decoded, Odoo processes them, enabling the development of bills, sales orders, and inventory adjustments as required.

Step 3: Workflow for Order Processing

Automatic Purchase Order Creation: An FTP server-based purchase order is prepared and transmitted to the supplier based on the dropship route configuration.
Order processing by the supplier: After receiving the purchase order, the supplier packages the item and gets it ready for shipping.
Order dispatch: The order is sent straight from the supplier to the client. Odoo monitors every step of the procedure, guaranteeing that the order status is updated instantly.
Order Completion: The transaction is finished when the customer receives the order. Odoo immediately logs the transaction and updates accounting and inventory data in line with it.
